Oak Hill Clean Terms & Conditions
Oak Hill Clean, also referred to in these Terms & Conditions as the “Company,” “we,” “us,” or “our,” reserves the right to make amendments to these Terms & Conditions for our cleaning, organization, and home concierge services in Nashville, Tennessee and the surrounding areas without prior notice.
By requesting service from Oak Hill Clean, the client accepts these Terms & Conditions and agrees to abide by them. Please carefully read these Terms & Conditions before booking a service.
1. Health & Safety
COVID-19 and Illness Disclosure
No customer shall book a service with Oak Hill Clean without fully disclosing their knowledge of COVID-19 symptoms, contagious illness, or other health and safety concerns that may affect our team.
As a customer of Oak Hill Clean, it is your responsibility to make our company aware if you or anyone in the home is experiencing symptoms of illness, has recently been exposed to a contagious illness, has been advised to quarantine, or otherwise presents a health or safety risk to our cleaners.
Oak Hill Clean reserves the right to discontinue, reschedule, or refuse any service on the grounds of health and safety.
General Health & Safety
Oak Hill Clean reserves the right to refuse a job on the grounds of health and safety, hazardous conditions, unsafe working conditions, or work outside the scope of our insurance coverage.
2. Service Area
Oak Hill Clean provides services in Nashville, Tennessee and surrounding areas. Service availability may vary based on location, scheduling, travel distance, team availability, and the scope of the requested service.
Homes outside our standard service area may be subject to additional travel fees or scheduling limitations.
3. Refunds, Re-Cleans & Satisfaction Policy
Our services are personalized to each customer. Therefore, Oak Hill Clean does not offer refunds.
However, if you have a complaint about your cleaning service, please contact us within 24 hours of the booking start time. We do not offer refunds, but we may offer a free re-clean if we are notified within 24 hours of the initial cleaning.
Customers must provide a written list, with pictures when possible, of the areas of the home that were missed during the initial cleaning. Any areas not reported within 24 hours of the initial cleaning may not be honored in the re-clean.
Customers may not add a new service to the re-clean without meeting our minimum new-service requirement. Free re-cleans will generally take place within 24 to 48 hours, depending on availability. The customer must be available to grant access to the cleaners for the re-clean.
4. Cleaning Approvals
Customers may confirm their satisfaction with a cleaning service in several ways, including:
- By voice or phone
- By replying to our emails
- Through text message
These are acceptable methods for us to acknowledge a customer’s approval of the cleaning work.
Once approval is received, Oak Hill Clean reserves the right to deny a re-clean request after the cleaning has been approved.
It is the customer’s responsibility to ensure that all non-voice communication to Oak Hill Clean is received and acknowledged within 24 hours of the initial clean. Oak Hill Clean reserves the right to deny complaints made more than 24 hours after the initial clean.
Customers who request to review our cleaning service but do not arrive within 10 minutes of the team’s departure may be subject to additional charges accrued while the team waits for the cleaning review. Customers may be charged for waiting time over 10 minutes, up to a maximum of one hour, after which point the cleaning team may leave the home.
5. Receipts
All receipts are automatically sent once payment is successful.
If customers do not receive a receipt automatically, they may request that Oak Hill Clean manually generate one. Receipts will only be sent to the email address used during booking. If the email address is entered incorrectly, the receipt may not be received.
6. Gift Cards
Gift cards may be redeemed for cleaning services but are not refundable or redeemable for cash.
To use a gift card, please go to our booking page and enter your unique gift card code. Any remaining gift card balance may be used toward a future service.
7. No Long-Term Contract
There is no required long-term contract between the client and Oak Hill Clean.
You may cancel your recurring or one-time cleaning service more than 24 hours prior to the scheduled booking. Oak Hill Clean also reserves the right to cancel service at any time.
A cancellation fee of $79 applies to bookings cancelled less than 24 hours before the scheduled booking time. Any rescheduled appointment may be cancelled for a $79 cancellation fee or rescheduled again to a suitable date, subject to availability.
8. Scheduling, Rescheduling & Arrival Windows
Arrival Time
Your scheduled cleaning time includes an arrival window of approximately plus or minus one hour. This allows our cleaners to account for traffic, parking, weather, prior appointments, and other reasonable delays. Any significant delays beyond this window will be communicated to the client prior to service when possible.
Rescheduling
A customer may reschedule a service more than 24 hours before the service appointment time. A rescheduled service may be cancelled at any time for a $79 cancellation fee or rescheduled to a later date for free, subject to availability.
Late Cancellation
A late cancellation fee of $79 will be charged unless notification of the change is made more than 24 hours prior to the service date and time.
All cancellation or rescheduling notifications must be made by contacting our office by phone, email, or text. Telling the cleaning team when they are already in your home is not considered proper notification.
Lockout or Inaccessibility
Oak Hill Clean will make every effort to accommodate customers in the event of a lockout or if our cleaners cannot gain entry to the home.
Lockouts may be rescheduled to another date. For cancellations during a lockout, a $79 cancellation fee will apply. For homes outside our standard service area, a $79 cancellation fee plus any applicable travel fee may apply.
If you do not notify our office and, upon arrival, we cannot enter your home, we may charge a lockout fee to cover our expenses. Our team’s daily pay is based on homes scheduled. When you skip on short notice or lock out the team, you may prevent Oak Hill Clean from servicing other clients during that time block.
9. Pricing & Service Frequency
The price for your recurring service is based on how frequently you request cleaning service.
Common service frequencies include:
- Weekly: once per week
- Bi-weekly: every two weeks, but no more than three weeks since the last cleaning
- Monthly: every four weeks, but no more than five weeks since the last cleaning
Rescheduling your cleaning may result in the cost of your service being less than, more than, or the same as your last cleaning, depending on the time between cleanings and the current condition of the home.
Example 1: A bi-weekly client who skips a cleaning creates a four-week interval between visits, and the applicable monthly rate may apply to the next cleaning.
Example 2: A bi-weekly client who requests an additional cleaning between scheduled visits may be charged the applicable weekly rate for the next cleanings if there is a one-week interval between both cleanings.
10. Cleaning Fee Adjustments
Oak Hill Clean may re-evaluate service rates based on the time required to perform our services, the client’s needs, Oak Hill Clean’s standards, and the client’s satisfaction.
Clients are required to disclose the true condition and size of the home requiring cleaning. Clients will be contacted if there are significant discrepancies prior to the service being performed when possible.
Oak Hill Clean reserves the right to adjust a customer’s price if the true condition of the home, home size, number of pets, level of clutter, or requested scope of work was not accurately disclosed prior to booking.
Oak Hill Clean also reserves the right to adjust prices shown on the website before or after a customer has booked a service. Price changes do not affect previously booked services unless there is a material discrepancy between the booked service and the actual service required.
Recurring clients may be contacted to discuss major price discrepancies or future service adjustments.
Oak Hill Clean may monitor actual cleaning time for the first two months and occasionally thereafter. We will contact you to discuss possible price or service revisions if cleaning time differs significantly from the original quote.
Homes with pets must be disclosed at the time of booking so that any applicable pet fee may be applied.
11. Payment Policy
Payment is due in full when booking a service online unless otherwise approved by Oak Hill Clean.
Accepted payment methods may include credit cards, debit cards, and other approved electronic payment methods. Cash payments are not generally accepted unless approved by Oak Hill Clean prior to booking.
No booking date shall be held for a customer without a valid payment method or payment details in our system.
12. Service Types
Oak Hill Clean does not offer custom price bookings outside our listed service types unless specifically approved.
A booking may be categorized as one of the following service types:
- Standard Cleaning
- Deep Cleaning
- Move-In/Move-Out Cleaning
- Hourly Cleaning
- Organization
- Home Concierge Services
All services are adjusted to one of the service types offered by Oak Hill Clean.
Cleaners are not authorized to change the customer’s cleaning service type during the clean. All cleaning adjustments must be made to Oak Hill Clean by email, text message, or phone call. Changes to bookings are subject to approval by Oak Hill Clean.
13. Hourly Services
All hourly services are billed by the hour at the current rate set by Oak Hill Clean at the time of booking.
Customers may not change their booking type after the service has begun without proper notice to Oak Hill Clean.
For hourly service where the customer is present during the cleaning, any extra time spent by the cleaners in the home will be billed to the customer. It is the customer’s responsibility to end cleaning services at the end of the billable hours to avoid being charged for additional time.
If a customer wishes to add extra services or time to the hourly service, Oak Hill Clean must be contacted by email, text, or phone call.
If a customer believes Oak Hill Clean’s cleaners are not working efficiently enough, the customer must communicate such concerns to Oak Hill Clean before the end of the hourly service.
For hourly service where the customer is not present, Oak Hill Clean will communicate with the customer when the hourly service is completed. If additional cleaning is required, the customer will be notified.
It is the customer’s responsibility to provide sufficient hours to complete the required cleaning of the property. Where insufficient hours are provided, only the priority areas of the home will be cleaned, and the customer will be notified.
Our 24-hour clean guarantee for hourly cleans is limited only to the time it takes to fix any missed areas. The guarantee does not mean the cleaners will spend the same number of hours as the initial hours booked. Customers should express concerns while the cleaners are still present whenever possible.
14. Move-In & Move-Out Cleaning
Customers who book our move-in or move-out cleaning plan agree that the home will be empty and free of clutter.
Oak Hill Clean does not remove pet odors from homes. If your home is empty and requires removal of pet odors, please contact a specialist.
Oak Hill Clean reserves the right to convert a move-out cleaning to a regular cleaning, deep cleaning, or hourly cleaning if the home is still occupied or if items remain in the home upon our arrival.
This includes, but is not limited to, items inside refrigerators, cabinets, closets, drawers, or appliances.
Move-out cleaning is priced for homes that are empty. Since emptying cabinets, refrigerators, and appliances takes additional time, extra charges may apply when these tasks are added.
For inside cabinet or inside appliance cleaning, customers may leave only minimal items inside. All items should be removed before service.
15. Teams & Staffing
Our cleaners may work in teams of one, two, or more, depending on the size and scope of the job.
A team leader may be assigned to your home. We make every effort to keep the same team leader or team assigned to your home, but we cannot guarantee this.
Several factors, including illness, promotions, other client appointments, scheduling needs, and staffing changes, may result in a change of cleaners on a team.
16. Cleaner Conduct
Our cleaners will be respectful while in your home.
They will not perform tasks outside their job duties, including but not limited to:
- Smoking
- Eating or drinking in the home
- Watching TV
- Playing radio, video games, or other entertainment
- Helping customers with tasks outside the booked cleaning plan
- Answering the telephone or doorbell
Oak Hill Clean is not a grout specialist, wall specialist, tile specialist, renovation specialist, or any type of specialist outside of general house cleaning, organization, and approved home concierge services. Oak Hill Clean will not accept tasks outside our scope of work. Customers requiring specialized services should contact an appropriate specialist.
17. Customer Instructions & Extra Work
If you require a change or modification to the cleaning details, instructions, schedule, or frequency, please contact our office.
The cleaning team is instructed to follow the instructions as they appear on their work order, which reflects the service agreed to at booking.
Additional requests given to the team at the time of cleaning that were not agreed upon by our office during booking may not be honored.
All additional tasks must be added to your cleaning plan during booking or by contacting our office before the service begins.
Please contact us in advance for special requests, including but not limited to:
- Post-construction cleaning
- Refrigerator cleaning
- Garage cleaning
- Extra rooms
- Interior oven cleaning
- Interior cabinet cleaning
- Other add-ons listed on our website
We may provide an over-the-phone estimate, but we reserve the right to adjust the quote after the job is completed if the actual scope differs from what was described.
18. Equipment & Supplies
Oak Hill Clean provides its own cleaning supplies and equipment, including vacuums, mops, and cleaning products.
If you have a specific product you would like us to use, please contact our office before your service date.
Our service teams generally bring their own vacuum. However, depending on the condition of the customer’s home, Oak Hill Clean may require the customer to make a working vacuum cleaner available.
This may be necessary to ensure the safety of other customers and our teams. Vacuum cleaners can carry dander and other materials that some customers may be allergic to.
19. Working at Heights
Oak Hill Clean and its cleaners do not work at heights above two ladder rungs.
Any cleaning requiring a ladder more than two steps up will not be performed by our cleaners. To ensure proper health and safety, Oak Hill Clean may decline work requiring unsafe heights.
20. Items We Cannot Clean or Do
Our staff has been instructed to leave certain items and areas untouched, including but not limited to:
- Body fluids or excretions
- Litter boxes
- Pet urine, feces, or vomit
- Pest-infested areas
- Hazardous materials
- Biohazards
- Areas requiring specialty remediation
If your pet has an accident or vomits, it is your responsibility to clean it up. Our teams may clean around these areas.
Seasonal insect infestation may also prevent us from completely cleaning your home. If ants, termites, roaches, fleas, or similar pests are encountered, Oak Hill Clean cleaners will not clean or vacuum the affected area.
Our staff cannot:
- Climb higher than a step stool or one to two ladder rungs
- Work on the outside of your home
- Move furniture containing electronics
- Lift objects over 20 pounds
- Prepare meals
- Provide pet care
- Provide child-related services
- Empty diaper pails
- Clean inside curio cabinets
- Perform tasks outside the booked scope of work
If there are items you prefer we not clean or handle, please contact our office so we can document those instructions.
21. Pets
If you have pets, our cleaners appreciate when they are secured and when you pick up after them before service.
We do not clean litter boxes, urine, feces, vomit, or other pet waste from the floor.
Pets Escaping From the Home
Neither Oak Hill Clean nor its cleaners are responsible for pets that escape when our cleaners are entering or exiting your home.
If your pet will be roaming free during the clean, please let us know in advance so the cleaners can be alert when opening doors. Our cleaners will make reasonable efforts to close doors promptly when entering and exiting, but customers are responsible for securing pets.
22. Security Alarms & Access
If your home is equipped with a security system, please ensure it is turned off before our arrival or provide our office with the necessary codes and input sequence before your scheduled cleaning.
Please notify our office if the code changes.
Please also make arrangements for your home to be accessible to us. Let us know how our cleaners may access your home, such as through a key code, lockbox, smart lock, or other approved method.
If a customer forgets to provide access to the home, we may reschedule the cleaning for another day at the client’s convenience. Refunds are not given for cleanings where the cleaners were unable to access the home, but we will gladly reschedule the cleaning subject to our cancellation and lockout policies.
23. Cancellations by Oak Hill Clean
Oak Hill Clean reserves the right to suspend or cancel a booking if there are problems with access to the home, water or electricity supplies, unsafe conditions, interference from other contractors or service providers, or interference from any party.
The client may still be held liable for up to 50% of the cost of the agreed service, depending on the circumstances.
24. Accidents, Damage & Theft
The client is responsible for securing cash, jewelry, heirlooms, valuables, and any other items of value.
If you have valuables, fragile items, or heirlooms, we recommend putting them away before service to avoid accidents.
Although uncommon, breakage may occur from time to time. Our personnel are instructed to contact our office immediately if anything is broken and to leave you a note advising you of the accident.
If an item is damaged or broken and the damage was caused by our team, we reserve the option to repair or replace the item. You must report the incident within 24 hours of service.
The client should be present at the end of the cleaning and inspect the home before the cleaners’ departure. Any damages should be brought to our attention right away. Once the cleaners leave, it may be more difficult to verify the source of any damage.
A dollar value of one-of-a-kind items must be demonstrated before a settlement may be determined.
We cannot be responsible for wall hangings attached with anything other than proper picture hooks. This includes items attached with straight pins, thread, adhesive strips, or other unstable hanging methods. Oak Hill Clean and its cleaners will make every effort to avoid damaging hanging frames while dusting, but customers are responsible for using proper hanging techniques for their home decor.
If a client suspects theft or believes actual theft has occurred, it is the client’s responsibility to report the incident to Oak Hill Clean’s office. If actual theft has taken place, the client is responsible for filing a police report and following through with any necessary legal process. Oak Hill Clean is indemnified against unsubstantiated claims.
25. Clutter
Cleaning will be more satisfactory if the team does not have significant clutter to work around.
Desks, counters, tables, or surfaces with large amounts of paperwork, personal items, or clutter may not be fully cleaned.
Oak Hill Clean cleaners may try to organize cluttered workspaces to the best of their abilities to allow cleaning to be completed satisfactorily, but extensive organizing may require an organization service or additional time.
26. Laundry Service
Customers who request laundry service agree that Oak Hill Clean shall not be responsible for damage to washers, dryers, or clothes being washed.
Every customer requesting laundry service understands that clothing may experience discoloration, shrinking, stretching, slackening, or other unexpected outcomes.
It is each customer’s responsibility to provide appropriate guidance to the cleaner regarding laundry service. Oak Hill Clean is not liable for damages resulting from the use of our services, including laundry service.
27. Stain Removal
Oak Hill Clean will do its best to remove stains during cleaning.
However, long-term stains may be difficult or impossible to remove within the required cleaning time. This may include stains in ovens, on walls, or in other parts of the home.
Oak Hill Clean may advise customers in such cases so they can decide what is an acceptable cleaning result for that portion of the home.
28. Wall Washing & Wall Spot Cleaning
Customers who book wall washing or wall spot cleaning agree that Oak Hill Clean shall not be responsible for damage to walls during cleaning.
Several factors may lead to wall damage during cleaning, and some pre-existing conditions may already be present before service is rendered.
Oak Hill Clean reserves the right to refuse wall service or any other cleaning service on grounds of health and safety, pre-existing condition, surface sensitivity, or our ability to properly perform the job.
A customer’s wall spot cleaning service may be switched to wall washing if stains are widespread rather than limited to specific spots. In such cases, Oak Hill Clean will contact the customer to discuss service alternatives, scheduling, and pricing.
29. Hoarding Conditions
Homes where hoarding has taken place require special attention.
If a home was booked as a standard, deep, or move-out cleaning and, upon arrival, Oak Hill Clean determines that hoarding conditions are present, Oak Hill Clean may convert the customer’s booking to an hourly rate.
Such situations can only be cleaned at an hourly rate because Oak Hill Clean cannot know in advance how many hours the job may require. Estimates will be provided to customers ahead of the cleaning appointment whenever possible.
30. Appliances, Cabinets & Furniture
Behind appliances such as ovens, refrigerators, washers, dryers, and similar items cannot be cleaned unless the appliances are moved prior to our cleaners arriving at your home.
Behind appliances will not be cleaned during a standard or deep clean unless specifically agreed to in advance. These tasks are generally applicable to move-in or move-out cleanings.
Behind furniture may not be cleaned if moving the furniture would pose a risk to our cleaners, the homeowners, the home, or the furniture.
During deep cleanings, if a customer requires cleaning behind furniture, the furniture must be moved prior to our cleaners’ arrival.
Customers requesting inside oven, inside refrigerator, or inside cabinet cleaning are required to have those areas emptied before our cleaners arrive.
Move-in and move-out cleanings require that the customer’s home be empty before service begins.
31. Before & After Photos
Oak Hill Clean may take before and after photos for completed cleaning jobs.
These pictures may be used for quality control, marketing, and proof of completed work. This helps reduce discrepancies in expectations and allows Oak Hill Clean to monitor cleaning quality and service integrity.
Before and after photos taken during service are the property of Oak Hill Clean. Oak Hill Clean will not disclose the cleaning location or intentionally reveal parts of the home that may identify the customer’s personal information.
Customers who are not comfortable with photos may express their concerns to Oak Hill Clean by calling or emailing our office before service.
32. Quality Control
Our quality control process may include home inspections, supervisor visits, phone calls, and customer follow-up.
A supervisor may enter your home after our cleaning team has completed the job, if access has been approved. We may also contact you at home, work, by phone, text, or email.
We believe inspections and client contact help us exceed expectations and maintain high standards. Customers may also receive a satisfaction survey. We appreciate your feedback.
33. Holidays
Oak Hill Clean observes certain holidays and may be closed or operate on a limited schedule on those days.
Observed holidays may include:
- New Year’s Day
- Memorial Day
- Independence Day
- Labor Day
- Thanksgiving Day
- Christmas Eve
- Christmas Day
If your regular cleaning falls on an observed holiday, our office will contact you approximately one to two weeks prior to the holiday to reschedule your cleaning.
If you wish to reschedule a cleaning that falls on another holiday or special date, please contact the office at least two business days in advance to avoid a late cancellation fee.
34. Hiring Oak Hill Clean Team Members
Oak Hill Clean invests significant time and resources into selecting, training, and retaining high-quality team members.
Customers agree not to directly hire, solicit, or otherwise engage past or present Oak Hill Clean team members outside of Oak Hill Clean without written approval from Oak Hill Clean.
If a client hires a past or present Oak Hill Clean team member despite this agreement, a placement fee equivalent to 20% of the team member’s estimated annual compensation shall be due immediately upon employment or engagement, whether the arrangement is regular employment, contract work, or another form of direct hire.
Please contact Oak Hill Clean to discuss this process if needed.
35. Tips
Tips are appreciated by your cleaning team but not required.
A recommended tip is 10% to 15% of your total cleaning fee. Tips may be left as cash for the cleaning team or may be added to your card payment when available.
We pay our team members 100% of the tips designated for them.
36. Personal Information
Calls made to or received from Oak Hill Clean may be recorded for quality and training purposes.
Oak Hill Clean will never share your personal information or call information with third-party companies or services without prior consent, except as required by applicable state or federal law.
37. Office Hours & Customer Service
Oak Hill Clean’s office hours and customer service availability may vary based on business needs.
